Position Summary
The Data Entry Receiving Clerk is responsible for accurately recording all inbound materials into the ERP/inventory system for a cabinet manufacturing facility. This role processes packing slips, bills of lading, and purchase order receipts for sheet goods, hardwood lumber, doors and drawer fronts, hardware, finishes, and supplies; maintains receiving files; and flags discrepancies so Purchasing and Production always have accurate, up-to-date material information.
Key Responsibilities
Data Entry & Receiving Records
- Enter all inbound receipts into the ERP/inventory system Monday and 2020 Insight accurately and on the same day materials arrive
- Match packing slips and bills of lading to open purchase orders; confirm part numbers, quantities, units of measure, species, thickness, finish, and color
- Generate and print receiving labels, location tags, and put-away tickets for the receiving team
- Close, partially receive, or back-order purchase orders in the system as appropriate
Discrepancy Tracking
- Log shortages, overages, damaged goods, and wrong-item receipts; attach photos and supporting documents
- Notify Purchasing and the Receiving Specialist Manager of discrepancies and follow up on vendor claims, RMAs, and credits
- Maintain a discrepancy log and assist in reconciling vendor invoices against receipts
Filing & Documentation
- Organize and file packing slips, BOLs, receiving reports, and inspection records (paper and electronic)
- Maintain accurate vendor, item, and location records; report needed item master corrections
- Prepare daily and weekly receiving reports for management
Inventory Support
- Assist with cycle counts and physical inventories; enter count results and help research variances
- Update inventory locations and bin transfers in the system as materials are moved to production areas
- Communicate material arrivals and backorders to Production Scheduling and department leads
General Duties
- Answer receiving-related questions from Purchasing, Production, and vendors by phone and email
- Assist on the dock with counting, labeling, or light material handling as needed
- Follow all safety and housekeeping procedures in the receiving office and dock area
Qualifications
Required
- High school diploma or GED
- 1+ years of data entry, clerical, receiving, or inventory experience
- Accurate typing and 10-key skills with strong attention to detail
- Proficiency with Microsoft Excel and Outlook; ability to learn ERP/inventory software quickly
- Ability to read purchase orders, packing slips, and material specifications
- Strong organizational and communication skills
Preferred
- Experience in cabinet, millwork, furniture, or wood products manufacturing
- Familiarity with sheet goods, hardwood lumber, and cabinet hardware terminology
- Experience with ERP systems such as Cabinet Vision, 2020 insight, or similar
- Forklift certification (not required)
Physical Requirements & Work Environment
- Primarily seated computer work in a receiving office with frequent trips to the dock and warehouse
- Ability to lift up to 30 lbs occasionally
- Exposure to a manufacturing/warehouse environment including noise, dust, and varying temperatures
- Occasional overtime to support delivery schedules, month-end close, or inventory counts
